Key Responsibilities:

• Provide phone coverage for the office and respond to general questions and inquiries.
• Perform clerical administrative support within the organization.
• Compose general routine correspondence such as memorandums, letters, emails, and agendas as needed.
• Send and retrieve subcontractor packets of information to all new subcontractors, as well as maintain current records for all subcontractors via QuickBooks.
• Print out monthly credit card statements and reconcile them in QuickBooks.
• Print out monthly bank account statements and reconcile them in QuickBooks.
• Organize hard copies of receipts each week (ensure all documents are scanned into Dropbox, then hole-punched and filed into client folders).
• Assist the Owner with any tasks as needed.
• Ensure office supplies are stocked and organized, and notify the Office Manager when supplies are needed.
• Perform month-end financial reports and update spreadsheets.
• Maintain and track a variety of records, files, and spreadsheets as needed.
• Photocopy/scan documents and organize them as needed.
• Perform other clerical duties such as stuffing envelopes, filing, inventory, and organizing office supplies.
• Create job costing reports as needed.
• Tidy the office regularly.

Requirements:

• MUST BE FULLY Proficiency in QuickBooks and bookkeeping tasks. We do Skills testing
