Duties and Responsibilities for Shop Clerk

  • Answer phones for the truck shop and make sure calls are forwarded or take adequate messages
  • Source and purchase parts
  • Track all bills: match all packing slips with invoice and file
  • Enter all invoices into Dossier and print open repair orders
  • Enter weekly mileage into Dossier and print open repair orders
  • Enter equipment paperwork into Dossier and file in appropriate equipment folders
  • Send out vendor repairs, purchase orders, and create external work orders
  • Work on mechanic repair and purchase orders
  • Copy all invoices approved by the Fleet Maintenance Supervisor, send the originals to the accounts payable department, and track down missing invoices from a list generated by the accounts payable department
  • Track inventory by doing a physical inventory and comparing it to the computer inventory
  • Mail out all fluid samples, make labels and postage, track results, provide a copy to the mechanics, and place a copy in the equipment folder.
  • Print emails as assigned by Fleet Supervisor
  • Research bills that have no assigned PO and make sure that they are for the truck shop
  • Sort through shop mail
  • Ensure that all service sheet folders are full for mechanics
  • Answer questions from outside managers about repair orders
  • Other duties as assigned
