Contract role through end of October 2025 Position begins onsite in Boulder for first half of contract and then ends in Denver for second half of contract Position Overview/Responsibilities for the Administrative Assistant:Provide daily office support to the General Superintendent and team
Greet visitors, answer and screen phone calls, respond to inquiries, and take detailed messages
Develop and compose routine correspondence, reports, charts, graphs, training materials, spreadsheets, and other documentation
Manage calendars, schedule meetings, coordinate travel arrangements, and prepare agendas and minutes
Receive and distribute incoming mail and requests to appropriate personnel
Arrange courier and delivery services; occasionally deliver documents as needed
Create and maintain project files and records, ensuring proper document control
Order office supplies, manage inventory, and coordinate maintenance of office equipment
Review and process travel requests, expense reports, and check requests in compliance with policies
Approve vendor invoices and maintain strong customer service relationships
Maintain grievance tracking and ensure correspondence aligns with collective bargaining agreement (CBA) deadlines
Excellent organizational and time management skills
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication abilities
High attention to detail and commitment to accuracy
Experience creating and managing documents, reports, and spreadsheets
Ability to handle sensitive information with discretion
Customer service mindset and ability to build rapport with internal and external stakeholders
Familiarity with administrative procedures and office logistics
Prior administrative or office coordination experience in a transportation or government setting
Experience supporting unionized environments or familiarity with CBA processes
Knowledge of data entry and tracking systems
Interest in operational logistics or public service
