Job Title: Payroll and Human Resource Coordinator

Pay: $20-$25/hr DOE Hours: Monday – Friday, Hours TBD — No confirmed end date Start Date: ASAP

In this vital role, you’ll support the HR Manager with internal and external HR inquiries, assist with recruitment and onboarding processes, and manage payroll operations. What You’ll Do:

As a Payroll and Human Resource Coordinator, you will be responsible for:
  • Advertising and posting job openings internally and externally, including coordinating with employment agencies.
  • Managing the full-cycle recruiting process: screening resumes, conducting interviews, performing background and drug checks, handling hiring paperwork (I-9, E-verify), and onboarding new employees with information such as W-4 forms.
  • Assisting with the annual employee performance review process and facilitating periodic wage increases.
  • Entering timesheet data and processing bi-weekly payroll using ADP software, including calculating retro pay, bonuses, commissions, and manual pay checks such as termination pay.
  • Coordinating employee benefits, including processing payroll benefits and managing COBRA administration during employee terminations.
  • Tracking PTO and sick leave accruals to ensure accurate records.
  • Ensuring compliance with all federal and state payroll withholding requirements, including FICA and Medicare.
  • Supporting 401(k) plans by managing funding analysis and assisting with annual audits, alongside providing payroll data for workers' compensation premium reviews.
  • Preparing quarterly and annual payroll filings, including forms W-2 via ADP.
  • Recording payroll accounting entries and reconciling monthly general ledger accounts related to payroll and benefits.
  • Performing routine month-end reconciliations and supporting other accounting functions when needed.

What You’ll Bring:

The ideal candidate for this role will have:
  • An Associate’s Degree in Accounting, Finance, or a related field; a Bachelor’s Degree is a plus.
  • At least 3 years of experience in payroll and HR functions, with proficiency in ADP or similar payroll systems.
  • Professional certifications such as Certified Payroll Professional, PHR, or SHRM-CP are preferred.
  • Strong organizational skills, attention to detail, and the ability to handle sensitive information discreetly.
  • Excellent communication skills and a customer-focused approach.
