We are seeking a detail-oriented and highly organized Purchasing Administrative Assistant in Roseburg, Oregon, to support the purchasing team in managing the purchasing process. This role involves coordinating procurement activities, maintaining inventory levels, managing vendor relationships, and ensuring the timely delivery of materials. The ideal candidate will have strong administrative skills, proficiency in purchasing systems, and the ability to handle multiple tasks in a fast-paced environment.
Essential Functions:
- Assist with procurement activities, including preparing purchase orders, tracking deliveries, and maintaining accurate records of purchases.
- Coordinate and communicate with vendors to ensure the timely and accurate delivery of materials and supplies. Address any issues related to product shortages, delays, or discrepancies.
- Maintain and update procurement records, including purchase orders, contracts, vendor details, and inventory levels, ensuring all documentation is complete and accurate.
- Assist in the preparation of purchasing reports by gathering data, preparing spreadsheets, and analyzing trends to support decision-making.
- Monitor inventory levels for critical supplies and raw materials, making recommendations for reorders based on current and projected needs.
- Liaise with internal departments (e.g., Finance, Operations, and Production) to coordinate purchasing requirements and resolve any supply chain or inventory issues.
- Assist with vendor selection and negotiations, gathering quotes and comparing pricing to ensure cost-effective procurement decisions.
- Process invoices and purchase orders, ensuring that pricing and quantities match the original purchase order, and resolving discrepancies as needed.
- Manage the purchasing schedule, ensuring that all necessary materials are ordered in a timely manner to prevent delays in production or operations.
- Assist with tracking and managing delivery schedules, coordinating logistics, and monitoring shipment progress to ensure on-time delivery.
- Support administrative tasks such as filing, data entry, and maintaining procurement documentation.
- Assist with the development and implementation of procurement processes and best practices to improve efficiency and reduce costs.
- Perform other duties as assigned to support the overall procurement team.
Qualifications:
- Experience in purchasing, procurement, or administrative support, preferably within a manufacturing, distribution, or retail environment.
- Strong administrative skills, with experience managing multiple tasks and priorities in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Excel (ability to create spreadsheets, pivot tables, and basic formulas).
- Strong attention to detail and organizational skills with the ability to track and manage multiple tasks.
- Effective communication skills (written and verbal) to interact with vendors, suppliers, and internal teams.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Knowledge of procurement software or enterprise resource planning (ERP) systems is a plus.
- Ability to work independently and as part of a team to achieve organizational goals.
- Problem-solving skills, with the ability to address issues proactively and find solutions to challenges.
