As an Administrative Assistant, you will be responsible for:
Provide administrative support to the Executive Director, Business Manager, and staff
Answer phones, greet visitors, and serve as the first point of contact
Prepare, copy, and distribute materials as needed
Maintain and order office supplies and equipment
Process and distribute incoming and outgoing mail, including post office trips
Manage membership packets, event and school registration, and database updates
Assist with maintaining websites, email outreach, and event scheduling
Make reminder and cancellation calls/emails to members and students
Assist with bookkeeping tasks using QuickBooks
Support meetings by setting up rooms and adjusting schedule as needed
File forms, invoices, and insurance paperwork accurately
Perform additional administrative tasks as assigned
The ideal candidate for this role will have:
A high school diploma or equivalent
1–3 years of experience in an office or administrative setting
Excellent phone, communication, and customer service skills
Proficiency in Microsoft Office, QuickBooks, and digital calendar systems
Familiarity with WordPress, Constant Contact, and Weblink a plus
The ability to multitask, stay organized, and work independently or with a small team
A valid driver’s license and access to transportation
A welcoming and professional demeanor
