Duties and Responsibilities for Business Office Assistant:

  • Provide assistance for Grant and Contract Administration; track and apply expenses in appropriate general ledger accounts and apply to appropriate revenue sources
  • Provide basic accounting assistance as needed; reviewing and approving expenses in Accounts Payable, using Tallie, DIVVY and BILL.com platforms.
  • Serve as a confidential, proactive member of the Business Affairs Team by exercising a high level of personal initiative and responsibility; projecting professionalism in contact with staff members, member company representatives, and others; and providing error-free support, records management, accounts review, among others.
  • Provide administrative and HR support
  • Produce and maintain detailed Excel spreadsheets as needed for the business office.
  • Undertake additional activities as assigned, including assistance with grants and agreements.

Skills and Qualifications for Business Office Assistant:

  • Bachelor’s degree, or at least 5 years of related experience in office administration, bookkeeping/accounting, and/or contract/grants assistance demonstrating increasing levels of responsibility and accomplishment.
  • Basic Bookkeeping/accounting skills
  • Ability to organize multiple complex tasks and deliver error free work products in a timely manner.
  • Familiarity with Microsoft Office Applications (including Microsoft Word, Excel, and PowerPoint) for word processing and spreadsheet applications.
  • Demonstrable knowledge of standard office procedures and policies, office equipment operation, and English grammar and syntax.
  • Familiarity with the DIVVY, Bill.com, Tallie, and Intacct preferred
  • Knowledge of Federal or state Grant and cooperative agreements, contract procedures, requirements and platforms preferred.

Job Details for Business Office Assistant:

  • Temp-Hire
  • Shift: Mon-Fri 8:00am - 5:00pm, or 9:00am - 6:00pm
  • $20/hr - $31.70/hr depending on experience
