MINMUM QUALIFICATIONS
- Education: High School Diploma or GED equivalent
- Typing speed of 30 WPM
- 1 - 2 years administrative, clerical, or customer service experience
- Strong data entry skills with ability to use multiple computer programs simultaneously
- Strong organizational skills, detail-oriented, and able to prioritize tasks
- Ability to work independently and as part of a team in a fast-paced, sensitive environment
- Knowledge of basic office equipment (phones, scanners, filing systems), computer systems and Microsoft Office applications.
- Prior experience working with patient registration
Preferred:
- AA degree
- Bilingual in Spanish
- Previous lab experience (highly preferred)
- EPIC experience (highly preferred)
- Experience in quality or compliance-related administrative support

Job Requirements:
- The Administrative Assistant in the Blood Center plays a critical role in supporting daily operations by managing patient registrations, processing blood samples, and ensuring accurate and timely data entry into the electronic medical record system. This role requires a detail-oriented, organized individual with strong communication skills who can work independently while collaborating closely with clinical and laboratory staff.
- Complete patient registration and admission processes in according with EMTALA law, PAS policies, and departmental procedures.
- Obtain and document patient demographic information, signatures, draw dates, and prescribing information on all applicable documents.
- Create and update patient charts in EPIC and perform complex data entry related to kit orders, blood transfusions, and laboratory requisitions.
- Process and scan documentation into electronic systems (EDM, Rightfax, PACS, Life Image) and maintain accurate filing systems (both paper and electronic).
- Answer multi-line phone inquiries and provide timely, accurate information to patient, families, providers, and external partners.
- Provide customer service in a sensitive, professional, and solution-oriented manner.
- Distribute patient-facing materials such as wristbands, privacy notices, and other required documentation.
- Maintain patient follow-up processes after procedures and ensure clinical staff are supported with necessary information and documents.
- Support coordination with ambulance agencies, law enforcement, and external office as needed. Collaborate with clinical and registration staff to ensure seamless operations during high volume or stressful periods.
- Perform other administrative duties as assigned to support overall Blood Center operations.
