Job Title: Administrative Assistant

Pay: $20/hr

We are seeking an Administrative Assistant for our client, a dynamic and fast-paced organization located in Augusta, Maine. The Administrative Assistant will provide high-level administrative support to the Executive Director and contribute to the overall success of the organization. This is a Full Time position located in Augusta, Maine.

As an Administrative Assistant, you will be responsible for:

  • Managing the Executive Director's calendar and scheduling meetings, ensuring no conflicts.
  • Facilitating Board and committee meeting preparations (scheduling, agendas, presentations, minutes).
  • Acting as the primary liaison with the Board
  • Coordinating travel arrangements and logistics (flights, hotels, transportation).
  • Preparing reports, presentations, and correspondence
  • Facilitating communication between the Executive Director and internal/external stakeholders.
  • Handling confidential and sensitive information with discretion
  • Managing logistics of Senior Leadership Team (SLT) meetings (scheduling, agendas, pre-reads, follow-ups).
  • Assisting in project management and strategic initiatives.
  • Organizing and maintaining digital and physical files.
  • Drafting and proofreading correspondence on behalf of the Executive Director.
  • Ensuring timely responses to internal and external communications
  • Preparing and distributing meeting agendas, minutes, and follow-up items.
  • Maintaining the highest level of confidentiality and professionalism
  • Adhering to company policies and ethical standards.

The ideal candidate for this role will have:

  • A high school diploma (some college preferred).
  • Previous administrative experience, preferably in an executive support role.
  • Strong organizational skills and attention to detail.
  • Proficiency in office software (e.g., Microsoft Office, Google Suite).
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong time management skills and the ability to multitask.
