Job Title: Office Assistant

As an Office Assistant, you’ll play a vital role in supporting the company’s daily operations and administrative functions. You’ll work closely with management, customers, and field technicians to ensure efficient scheduling, communication, and record keeping — all while keeping the office running smoothly.

 

What You’ll Do:

As an Office Assistant, you will be responsible for:

  • Performing general administrative and clerical duties to support daily operations.
  • Assisting with bookkeeping tasks including Accounts Payable/Receivable, invoicing, and purchasing using QuickBooks, Ramp, and Dynomite systems.
  • Communicating with customers via phone and email regarding scheduling, inventory, and service follow-up.
  • Coordinating technician schedules and travel for installation and service jobs across multiple states.
  • Generating and managing purchase orders, service requests, and quotations for fire suppression systems.
  • Maintaining organized and up-to-date documentation, records, and reports.
  • Participating in inventory management, shipping coordination, and office maintenance activities.
  • Supporting outbound sales efforts through follow-up on quotes and leads from trade shows and referrals.  

What You’ll Bring:

The ideal candidate for this role will have:

  • High school diploma or GED required; associate or college degree preferred.
  • Recent clerical or administrative experience with strong job stability
  • Proficiency in Microsoft Word and Excel (testing required)
  • Strong computer literacy and comfort with accounting and scheduling software
  • Excellent organizational and multitasking abilities
  • Clear, professional communication skills — both written and verbal
  • Punctual, dependable, detail-oriented, and able to work independently.
  • Bookkeeping or accounting experience is a plus.
  • Ability to sit or stand for extended periods and perform basic office duties.
