Front Desk and Reception: Act as the first point of contact for the department, answering phone calls, screening inquiries, taking messages, and assisting staff, patients, and visitors with general information. Handle incoming mail and emails and distribute them appropriately.
Appointment Scheduling and Patient Communication: Manage patient appointment scheduling, contact patients as needed, and provide clerical support by maintaining department files, policies, and procedures.
Office and Clerical Support: Perform routine office tasks such as filing, faxing, and data entry. Maintain logs, schedules, and departmental records, including timekeeping and budget documentation, when necessary.
Project Assistance: Assist with various office projects, ensuring tasks are completed on time and meet department standards. Support internal staff by gathering information and facilitating follow-up when needed.
Educational Background: High School Diploma or General Education Diploma (GED) or equivalent education/experience.
Clerical Skills and Knowledge: Proficiency in administrative office procedures, including filing, office systems, and protocols. Ability to confidently use Microsoft Excel for data entry and management.
Communication and Customer Service Skills: Strong verbal and written communication skills, with the ability to interact professionally with patients, staff, and other departments. Ability to handle inquiries and direct them appropriately.
Healthcare Knowledge (Preferred): Familiarity with a healthcare setting and routine clerical procedures, as well as the ability to process standardized clerical tasks efficiently.
