Opportunity Overview

We are seeking a compassionate, highly organized, and detail-oriented Patient Services Coordinator to join our team. This role serves as the first point of contact for patients and visitors, managing check-in, appointment scheduling, payment collection, and overall front desk operations. The ideal candidate will have strong communication skills, excellent problem-solving abilities, and the ability to thrive in a fast-paced healthcare environment.

Essential Functions & Responsibilities
  • Greet patients and visitors with professionalism and courtesy, ensuring a positive experience.

  • Check patients in for appointments, verify insurance information, and collect payments.

  • Obtain medical records and authorizations as needed.

  • Schedule appointments, coordinate follow-up visits, and complete reminder calls.

  • Maintain accurate patient records in the electronic medical record (EMR) system.

  • Answer incoming calls, respond to inquiries, and route messages appropriately.

  • Collaborate with clinical staff to optimize scheduling and patient flow.

  • Ensure compliance with HIPAA and patient confidentiality standards.

  • Troubleshoot scheduling and front desk issues, escalating when appropriate.

  • Perform additional administrative duties such as scanning, filing, and assisting other departments.

Qualifications & Requirements
  • High school diploma or GED required; Associate’s degree or Medical Assistant certification preferred.

  • Minimum of 1 year of experience in a healthcare front desk, scheduling, or administrative role.

  • Strong customer service skills with a professional and friendly demeanor.

  • Excellent written and verbal communication skills.

  • Ability to manage time effectively, prioritize tasks, and maintain accuracy in a fast-paced setting.

  • Proficiency in Microsoft Office Suite; ability to learn healthcare software quickly.

  • Strong problem-solving skills and adaptability to changing priorities.

Desired Skills & Experience
  • Familiarity with oncology, radiation oncology, or related workflows.

  • Experience with EMR systems (OncoEMR or similar preferred).

  • Knowledge of medical terminology.

  • Background in insurance verification, authorizations, billing, and/or medical records management.

  • Proven ability to work independently and collaboratively as part of a team.
